Listening is a trained discipline, not a personality trait

Active Listening in Sales: 13 Techniques and the 75 Percent Rule

revenue↗amplified

Most guidance tells reps to listen more. That is not coachable. These are the thirteen named behaviours we train, the words to say them in, and the ratio a manager can actually inspect on a call recording.

Why good reps still miss it

Your reps can hear. Nobody gave them a standard.

Your rep leaves a discovery call sure it went well, and the buyer said a third of what mattered. That is not a hearing problem. revenueify trains active listening as thirteen named behaviours, the words to say them in, and a standard a manager can check on a recording.

Active listening in sales is the trained discipline of hearing, confirming, and acting on what a buyer actually says rather than waiting to pitch. It is measured, not felt: the buyer should talk 75 to 80 percent of a discovery call while the rep paces, paraphrases, and confirms understanding out loud.

The techniques

13 active listening techniques for sales calls

Six are about pacing, getting into step with the buyer so they keep talking. Seven are about quality, protecting the information once it starts coming. Together they are the thirteen behaviours a manager can name, coach, and score off a recording.

Pacing, getting into step with your customer

  1. Observe and comment favorably
In the first ninety seconds, find something true about the buyer's business or environment and say it. It buys you the rest of the call.
  2. Match their speech patterns
Pace, volume, and vocabulary. Not mimicry, calibration. A fast talker hears a slow one as evasive.
  3. Mirror mood and feelings
If the buyer is frustrated, do not arrive cheerful. Meet the temperature of the room before you try to change it.
  4. Listen, then play back
Repeat the substance in your own words before you respond to it. If you cannot play it back, you were not listening.
  5. Support with statements
Short verbal signals that you are still there and still tracking. Silence on a phone call reads as absence.
  6. Confirm understanding
Ask directly whether you have it right. Being wrong out loud early is cheaper than being wrong quietly for six weeks.

Quality, protecting the information once it starts

  1. Stay neutral
Avoid giving advice, agreeing, disagreeing, criticizing, or interrupting.
  2. Take notes when appropriate
Writing signals respect and forces you to capture what the buyer actually said.
  3. Read between the lines
Analyze nonverbal signals and clarify by stating how you perceive the other person's feelings.
  4. Restrict distractions
If you cannot give the buyer your complete attention now, negotiate a time when you can.
  5. Hold your rebuttal
Listening is gathering information and gaining understanding, not testing your own point of view.
  6. Get verbal agreement on decisions
Silence does not mean yes. Confirm out loud before moving forward.
  7. Treat listening as work
It takes energy. It needs regular practice. Sharp listeners stay sharp because they keep using the skill.

Where listening fits

Listening is one of four skills every serious program teaches, and on its own it is only half the job. What a rep hears still has to be answered in the register the buyer uses, and there are four of those. Our sales communication training covers the whole system, including how to tell which of the four buyers is in front of you before you decide what to say back.

What it sounds like

Word for word, four kinds of feedback that build trust

Everyone tells reps to acknowledge the buyer. Here is the sentence, for each of the four moments it matters.

Supporting statements

"Bill, I'm glad you agree that we have the capability to provide the solutions you need."

Acknowledgments

"David, I understand your concern. Getting shipments on time is critical."

Empathy statements

"Chris, I understand how you feel. You need to work with a company that consistently delivers high quality and stands behind it."

Clarifications

"Sally, please explain what you mean when you say completing this project this quarter is critical."

The standard

What is the 70/30 rule in sales, and why we hold reps to 75/80

Most guidance you will find sets a 70/30 target, buyer talks seventy, rep talks thirty. It is a reasonable floor and it is not where good discovery lives.

revenueify trains to 75 to 80 percent buyer talk time on a discovery call. The extra five to ten points is exactly the space where the buyer stops answering your questions and starts telling you what is really going on. It is also a number a manager can score off a recording without arguing about it, which is what makes it trainable rather than aspirational.

The real problem

The deal did not die on price, it died on the discovery call

These four show up as a pricing objection at the end. They started at the beginning.

01

Your reps talk more than the buyer does

On the client calls we review, reps routinely talk 60 to 70 percent of a call that was supposed to be discovery.

02

The real need surfaces after the proposal goes out

Which means the proposal was written against what the rep assumed, not what the buyer said.

03

Trust never builds because the rep does not match the buyer

Same words, wrong pace, wrong temperature. The buyer decides you do not get it before you have finished the first slide.

04

Listening training was a half-day event that faded by month two

Because nothing measurable was attached to it and no manager inspected it afterwards.

The behavioural layer

Trust has four elements, and each one belongs to a different buyer

revenueify trains the CFS® Trust System, four elements drawn from Dr. Ralph Colby's University of Minnesota research, each mapped to a behavioural style. Reliability is what a C buyer needs before anything else. Openness earns an S. Acceptance opens up an i. Straightforwardness is the only thing a D will sit still for.

Which is why listening is not one skill. It is the same discipline delivered four different ways, and Everything DiSC® is how a rep works out which one is in front of them.

Client story

VVA wanted better listeners. It got enterprise work.

VVA, a national project management firm now about 100 people strong, wanted its team to listen better and plan ahead instead of reacting. It started with one leader using our coaching on his own calls. When he saw the change, he took it firm-wide: Everything DiSC® profiles, the F.I.N.D.® interview process and ongoing coaching. VVA now sells more enterprise services.

Everything DiSC® and listening

You listen through your own style first

Every rep hears a buyer through their own style. A D hears the bottom line and skips the worry. An S hears the worry and misses the deadline. An i hears the energy, a C hears the detail, and each one tunes something out. An Everything DiSC® profile shows what your style filters out and how to tell which buyer is talking, so you know what to listen for.

$140 per profile

Each one comes with a free 30-minute coaching debrief with revenueify to put it to work.

Questions people actually ask

Frequently asked questions about active listening in sales

What is active listening in sales?

The trained discipline of hearing, confirming, and acting on what a buyer actually says rather than waiting to pitch. It is measured rather than felt. The buyer should talk 75 to 80 percent of a discovery call.

What is the 70/30 rule in sales?

A common guideline that the buyer should talk seventy percent of the call and the rep thirty. It is a reasonable floor. revenueify trains to 75 to 80 percent, because the extra points are where the buyer stops answering and starts explaining.

What are the 4 types of active listening?

In Customer Focused Selling® the four kinds of feedback are supporting statements, acknowledgments, empathy statements, and clarifications. Each does a different job, and reps who only use one sound either dismissive or insincere.

What is a good talk to listen ratio on a sales call?

On discovery, 75 to 80 percent buyer. On a demo or a proposal review the ratio legitimately flips, which is why the standard is applied per call type rather than as a blanket rule.

Can active listening really be taught, or is it a personality trait?

It is taught. That is the whole premise of the thirteen behaviours. Naming a behaviour is what makes it possible to practise, coach, and score, and every one of the thirteen is observable on a recording.

Why do salespeople talk too much on discovery calls?

Usually anxiety rather than arrogance. Silence feels like failure, so the rep fills it. The fix is not telling them to talk less, it is giving them something specific to do instead, which is what pacing and playback are for.

What are examples of active listening phrases in a sales conversation?

Four that work: I'm glad you agree that we can provide the solutions you need. I understand your concern, getting shipments on time is critical. I understand how you feel, you need a company that stands behind its quality. Please explain what you mean when you say this quarter is critical.

How long does the training take and does it stick?

The facilitated content is the short part. Whether it sticks depends on the ninety days after it, which is why every engagement attaches call scoring and a monthly coaching cadence.
